Sell a plan to a customer

Selling a plan is what turns a catalog plan into something real for a customer: it generates the invoices and, if you want, books the time slots in the calendar right away. The sale always happens inside a customer’s profile, on the Plans & Packages tab, and requires the customer to have at least one pet registered. If they don’t yet, register the customer and register the pet first. (The plan catalog is built in Create a plan or package; here we just sell one that already exists.)

Step 1 — Open the customer’s Plans & Packages tab

Find the customer in Customers and open their profile. In the profile’s section menu, click Plans & Packages. You’ll see the plans the customer already has (if any) and, for each pet, a Sell plan card (the box with +). Click the Sell plan card of the pet that will get the plan.

If the customer has no pet yet, the screen shows “No pet for this customer” — in that case, register the pet first.

The New Plan window opens. At the top, under Pet that will use it, confirm (or switch) the pet — all of the customer’s active pets appear. Then, in the Plan field, pick a plan from the catalog.

The plan list is already filtered by the chosen pet’s species and breed: only plans that accept that pet show up. Each item shows whether it’s a Plan (recurring: Monthly, Quarterly, Half-yearly or Yearly) or a Package (with the duration in months). Just below, the system lists the Associated Services (e.g. 4 x Bath) so you can confirm what’s included.

If you see “No plan available for this pet”, it’s because no catalog plan accepts that species/breed — adjust the plan in Create a plan or package or the accepted species and breeds.

  • Segment — where the plan’s services will be used: Pet Shop, Clinic, Day Care/Hotel or None. It comes pre-filled based on the plan’s services; adjust if needed.
  • Start date* — when the plan takes effect. It can be today or a future date.
  • End datecalculated automatically from the start date and the plan type (Monthly adds 1 month, Quarterly 3 months, and so on; a Package uses its configured duration). You don’t fill this field.

For recurring plans (non-Package), a Charge note also appears — “Monthly, every day X” — showing the day of the month the invoice is due.

Step 4 — (Optional) Book the time slots in the calendar

If the plan has recurring services (e.g. one bath per week), the Book times? block appears per segment. Choose Yes to have the system schedule everything automatically in the calendar; choose No to book it later by hand.

When you pick Yes, set:

  • Select an employee?No leaves any available professional; Yes opens an employee picker per service category (e.g. who does the bath, who does the grooming).
  • Which day of the week? — the fixed day for the bookings. If the plan needs more than one day per week, Select N days of the week with checkboxes appears instead.
  • Date of the first booking — from which date the bookings start (only enables the days of the week you chose).
  • Pick a time — the fixed time. If the full time doesn’t fit on every date, click Times with overbooking to use the overbooking slots on the days when the calendar is full.

Step 5 — Set the price and pick-up & drop-off

  • Plan price — you choose between two paths: the table price (calculated automatically from the pet’s size and coat, or from the breed in stores that charge by breed) or a manual price you type in. Select the option you’ll use.
  • Pick-up & drop-off — choose Yes to include picking the pet up and dropping it off at home and type the amount charged for it; leave it No if the store doesn’t offer it.

On the right, the system shows the summary: Plan price, Pick-up & drop-off (when present) and the TOTAL.

The payment method (Pix, card, cash) is not set here — it’s chosen later, when collecting each invoice, in Charges.

Step 6 — (Package) Choose when the customer pays the cycle

For a Package with recurring bookings, the Cycle charge field appears, defining when the customer pays each cycle of the package:

  • At the start — the invoice is due at the beginning of the cycle (the customer pays before using the bookings);
  • At the end — the invoice is due at the end of the cycle (the customer pays after using it).

For recurring plans (Monthly, Quarterly, etc.) this field doesn’t appear — the charge is always monthly, on the day of the sale.

Step 7 — Sell the plan and confirm the employee

With everything filled in, click Sell plan (at the bottom of the window). The system asks you to confirm the responsible employee for the sale (and their password, if the store requires it). Confirm.

Done: the plan is created for the pet, it starts showing on the customer’s Plans & Packages tab and the plan invoices are generated automatically — you track and collect each one in Charges. If you turned on time booking, the bookings are created in the calendar in the background (you can close the window and they’ll keep being made).

From the sale onward, that pet’s plan is an independent copy of the catalog plan: the price, services and validity are frozen as they were at the moment of sale. Editing or deleting the plan in settings does not affect this sale.

To see usage (how many baths have been used, invoices, history), open the plan inside the customer’s profile or track the overview in Track plans and packages.
